Exhibition Manual for SFE BES 2025

General Information

Accommodation 

A number of hotels of various categories at negotiated rates are available for participants of the event. Please contact Minos Psarakis at Bioscientifica (conferences.hotels@endocrinology.org) for more information on availability or book via the Accommodation booking links on the Congress website.

 

Car Parking

Once unloaded, vehicles must be moved from the loading bays.

There are many car parks in close walking distance to the Harrogate Convention Centre.

Please remember to check the closing times of your car park if you intend to stay late as vehicles locked in will be charged a release fee.

 

Children/Students/Trainees 

No person under the age of 16 will be permitted access to the Exhibition.  This rule also applies to the children of Exhibitors and Contractors during the build-up, open and breakdown periods.

 

Disabled Persons’ Facilities

There are disabled parking spaces in the Venues Red Car Park. These spaces are within easy access of the lift. Also, any blue badge holder can park free of charge in any car parking bay. There are lifts throughout all floors of the Venue, please notify a member of the registration desk or a member of staff from the Venue if you require any assistance.

 

Distribution of Materials

The display or distribution of any material in any form from any area within The Harrogate Convention Centre, other than banner sites and within the boundary of your stand, is strictly prohibited.

 

First Aid 

Anyone requiring first aid assistance should report to the Organisers’ Office which will be clearly signposted. If there is insufficient time and a member of the congress or venue team is unavailable, please call the Emergency Services.

 

Floor Covering

The exhibition floor is carpeted – shell scheme stands will also be carpeted. Space only stand flooring should be incorporated into the stand design as required.

 

Lost Property 

All lost property should be handed to the nearest member of staff. At the end of each day any unclaimed property is taken to the venue control room for safe keeping.

If you have lost something please check at the Registration Desk or with the Venue’s control room.  Should personal effects be left on your exhibit booth, these should be given to the Registration team or a member of the venue team. Items left unattended such as bags or cases should be reported to a member of venue security.

 

Paging/Announcements

Please note that during the open period of the show, the public address system is for congress organisers’ announcements and emergency/police messages only.

 

Payment Conditions

The venue will invoice all technical services after the event. Payment via credit card is possible and must be before the congress.

 

Security 

Although every reasonable security precaution is taken throughout the tenancy period of the congress, the congress organisers cannot be held responsible for any loss, damage or accident, which may occur to any exhibitors (or their contractors), property or personnel.  We strongly recommend that any valuable items e.g. handbags, mobile phones and laptop computers are kept under constant supervision, (especially during build-up and breakdown) and removed from the Exhibition Hall each evening.

 

Please survey your own area for any suspicious packages, bags etc.  If you see anything suspicious, contact a member of the Venue, Security or Organising staff.  Please ensure that you have suitable insurance cover for yourself, your staff and your property.

 

Harrogate Convention Centre provides 24-hour building security cover via its security gate house.

 

Storage

Please note that there are no storage facilities available in the Exhibition Hall. Storage by prior arrangement with the Venue may be possible.
