Dates and Deadlines
All dates and deadlines for submission are outlined on the portal via the tasks section, please use this as your main focus for tasks and deadlines that need to be completed.
Some of these tasks will have a form linked to them for you to complete and submit back to us. Others will require you to email the form direct to the supplier or venue, this will be explained in the task.
These tasks are put in place to ensure that all elements of your sponsorship can be delivered. While we aim to deliver all items and booked services, failure to meet these deadlines may lead to delays or an inability to deliver on the item in question.
Wednesday 14 August | Upload Schematic Stand Plan (Space only)
Wednesday 14 August | Upload Method statement submitted (Space only)
Wednesday 14 August | Build Day – Confirmation of arrival time (Space only)
Friday 16 August | Upload company logo
Friday 16 August | Upload company name
Friday 16 August | Upload company profile
The above task deadlines are set to meet the deadlines for the programme book print timeline.
Failure to upload these on the portal by the deadline given may result in you not being included in the programme book.
Friday 16 August | Upload PDF proof of Delegate Bag Inserts, Programme book Adverts and any sponsored items for approval
Friday 30 August | Upload final PDF proof of Delegate Bag Inserts, Programme book Adverts and any sponsored items for approval
Monday 9 September | Upload health & safety declaration form
Form is downloadable from the task on the portal
Monday 9 September | Upload risk assessment form
Form is downloadable from the task on the portal
Monday 9 September | Upload insurance certificate
Copy of Insurance Certificate (incl. Public Liability minimum £5m)
The above task deadlines are mandatory requirements that must be uploaded in advance of the meeting. You will not be allowed entry to the exhibition if you have not provided these. Failure to upload these on the portal by the deadline for our approval may delay your access on site if the provided materials do not meet the correct requirements.
Monday 16 September | Acknowledgement of delivery date for delegate packs (Wednesday 2nd October)
The above task may not be applicable to all sponsors, if this is not on the portal for you please ignore
Monday 23 September | Confirmation completed registrations
We will email you a code specific to your company so you can register using the online registration system.
As per your contract agreement you will only be able to register using the code for the number of passes you have been allocated. As standard each exhibiting company is allocated two free passes which provide access to the Exhibition Hall only.
Any additional passes required will need to be purchased in advance by emailing [email protected]
No person will be admitted to the Exhibition except on the production of a valid invitation or pass. The Exhibition is not open to the general public.
Badges must be collected from the registration desk, on arrival.

Tuesday 17 September | Lead retrieval bookings made – BRIGHTELM
Lead retrieval can be purchased as a separate item via emailing [email protected]. The cost of this is £800 per stand (+ VAT).
Friday 27 September | Orders for electrical connection/power (space only) – PICKARD
Space only stand bookings do not include power and this must be ordered separately via emailing Pickard - [email protected].
Tuesday 1 October | Orders for stand graphics/printed items (panels, banners etc.) – VENUE
Exhibiting companies wishing to include AV or IT on their stand can order this via email to [email protected].
Tuesday 1 October | Orders for Internet for stands – VENUE
Orders for wired internet connections at stands can be submitted via emailing either [email protected] or [email protected].
Tuesday 1 October | Orders for waste and water services – VENUE
Orders for waste and water services for stands can be submitted via emailing [email protected] or [email protected].
Tuesday 1 October | Stand cleaning booking – VENUE
General cleaning of the exhibition hall will take place during the event build day and prior to the event opening each day. If you require your stand to be cleaned, please contact the venue to arrange this for an additional fee via email to [email protected] or [email protected].
